Chi Combat System Martial Arts School – Terms and Conditions

Applicable Branch:
These Terms and Conditions apply specifically to the Chi Combat System Croydon branch, operating as Combat 8 Limited. By registering for our programs, students and/or their legal guardians agree to abide by these Terms and Conditions.

1. General Information

These Terms and Conditions are intended to ensure a safe, respectful, and productive environment for all students enrolled in classes at Chi Combat System Croydon.

2. Membership and Fees

Membership Fee:
No membership fee is required to join Chi Combat System Croydon.

Joining Fee:
Some subscription plans require a one-time joining fee, which must be paid at the time of registration. This fee is non-refundable and covers administrative costs, initial assessments, and onboarding materials.

Class Fees:
Class fees must be paid online via our automated payment system.
Cash payments are not accepted for monthly subscriptions. This ensures consistent, secure, and trackable processing for all students.

Subscription Plans & Monthly Fees:

• All subscription plans are billed monthly and are non-refundable.

• No refunds or credits will be issued for missed classes, cancellations, or unused portions of the subscription period.

• A £1 service fee applies to online transactions.

• A £2 failed payment fee will be applied for any unsuccessful or returned payments to cover administrative and processing costs.

• Monthly fees must be paid on time. A 5-day grace period applies for failed payments, after which membership may be automatically cancelled if the issue is not resolved.

Subscription Freeze Option:

• Plan members may request to freeze their subscription once every 6 months, for a period of up to one month (e.g. for holidays or medical reasons).

• Requests must be submitted in writing at least 7 days before the next billing date.

• Freeze requests will not be backdated, and no additional freeze requests will be accepted within the same 6-month period.

Subscription Termination:

• Members must provide a minimum of 4 weeks’ written notice to cancel their subscription.

• Failure to give notice will result in the next month's fee being charged.

• Notice of cancellation must be submitted via email or written communication to the School administration.

3. Grading Fees

Eligibility and Readiness:
Instructors have sole discretion to determine if a student is ready to participate in grading.

Payment Deadline:
Grading fees must be paid prior to the grading date. Late grading payments may incur additional fees.

Non-Refundable:
Grading fees are non-refundable under any circumstances.

4. Payment Policies

Refund Policy:

• All class fees, subscription fees, joining fees, and grading fees are non-refundable.

• No refunds will be given for missed or unattended classes, regardless of reason.

Item Refunds:

• Refunds on purchased items (e.g. uniforms or equipment) are available if returned within 14 days in original, unused condition.

5. Class Attendance and Conduct

Punctuality:
Students must arrive on time. Entry may be denied to those arriving late, depending on class progression.

Absences:
Students are encouraged to inform instructors in advance if they will be absent.

Respectful Behaviour:
Respect towards instructors and fellow students is mandatory. Disruptive or disrespectful behaviour may result in suspension or removal from the School.

6. Health and Safety

Medical Conditions:
Students (or guardians) must disclose any relevant medical conditions prior to joining or when such conditions arise.

Injury Liability:
Chi Combat System Croydon is not liable for injuries sustained during training except in cases of gross negligence by instructors. Personal accident insurance is advised.

7. Intellectual Property

Class Materials:
All instructional materials, lesson plans, and resources provided are protected intellectual property and are for personal use only. Reproduction or distribution is prohibited without written permission.

8. Privacy and Data Protection

Data Collection:
Personal data is collected in line with UK GDPR regulations and used strictly for administrative, safety, and communication purposes.

Opt-Out:
Students may request to opt out of non-essential communications by contacting the School in writing.

9. Modifications to Terms

Chi Combat System Croydon reserves the right to amend these Terms and Conditions at any time. Updates will be communicated and will take effect upon notification.

10. Governing Law

These Terms and Conditions are governed by UK law. Any disputes shall be resolved within the applicable UK jurisdiction.
